Cin7 Core alternatives: what to check before you switch
Most pages that rank for this are lists of ten products with a paragraph each. This one is the checklist we would use ourselves — including the one thing Cin7 does better than we do, what you should export before you give notice, and the costing change that catches people at their first month-end.
1.Why people go looking
The reasons operators give us, roughly in the order we hear them. None of them are reasons to switch on their own — they are reasons to run the checklist in the next section.
- The bill grew. Usually seats plus add-ons rather than the headline plan. It is worth pricing what you actually use, on both sides.
- They use a fraction of it. A platform built for multi-channel ecommerce carries a lot of surface area that a regional distributor never touches, and that surface area shows up in training time and in configuration.
- The warehouse has no signal. A back storeroom or a rural delivery run is where inventory software either works or gets replaced by a clipboard.
- Delivery is invisible. Stock on a truck is real stock. If your system cannot plan a route, hold a truck-level ledger, or invoice at the door, that whole part of the operation lives in someone's spreadsheet.
- Onboarding stalled. An implementation that has been "nearly live" for three months is a signal about fit, not about effort.
2.The questions that actually decide it
Ask these of us, of Cin7, and of anyone else on your shortlist. Our answers are below; get theirs in writing before you sign anything.
| Ask | Why it matters | AegisSwift's answer |
|---|---|---|
| What does a seat cost, and how many do I need? | Per-user pricing is what turns a plan price into a real bill once the warehouse team is on it. | $69/month for a solo operator (1 user, up to 100 SKUs). $199/month for unlimited users and unlimited SKUs. $349/month adds BOMs, work orders and job costing. Billed annually. |
| Which capabilities are add-ons? | The demo shows the whole platform. The quote shows the modules. They are not always the same set. | No per-transaction charges and no setup fees. What is in the plan is in the plan. |
| Does the mobile app work with no connection? | "Mobile" often means a web page that needs signal. A dead zone in aisle nine is not an edge case. | Offline-first. Scans and transactions queue in an encrypted on-device store and sync when the connection returns. |
| Can it plan a delivery route and invoice from the truck? | If not, your delivery operation stays on paper regardless of what the inventory module does. Read the feature name carefully: Cin7's help centre documents order routing as sending an order to a fulfilment location, which is a different thing from planning a driver's day. | Route planning and dispatch, truck-level inventory ledgers, field invoicing, and returns at the door — on the $199 plan. |
| How deep does the accounting sync go? | Syncing items and invoices is the easy half. The month-end work is in the journal entries — and which edition of QuickBooks you can keep. Cin7's QuickBooks integration is documented for QuickBooks Online; there is no Desktop connector. If your books are on Desktop, that is a migration you did not ask for. | Two-way QuickBooks Online sync, and a QuickBooks Desktop connector. Receipts, adjustments, COGS on sale, work-order job cost and landed-cost allocations post automatically — see the Desktop guide. |
| Can I trace a lot forward to the customers who received it? | This is the question an auditor or a recall asks, and the answer has to be one click, not half a day. | Lot tracking and traceability from the $199 plan — but ask this one of us sceptically. Cin7 is ahead of us here, and §3 says why. |
| How do I get my data back out? | Ask it about the system you are joining, not just the one you are leaving. The answer tells you how the vendor thinks. | Items, parties and sales orders download as CSV at any time. |
3.Where Cin7 is the better answer
We are not the right call for everyone, and the fastest way to waste a month is to switch into a worse fit. Stay where you are — or look at something other than us — if:
- recall is the thing that keeps you up at night. This is the one place we will point at a competitor's feature and tell you it beats ours. Cin7's Batch/Lot Recall returns every affected customer order and drafts the recall letters for you, and its finished-product traceability explodes nested bills of materials to do it. We have lot tracking and forward traceability; we do not have that. If you are in food, supplements or anything with an FDA-facing recall plan, weigh it heavily;
- your business is built around multi-channel ecommerce and marketplaces, and channel and fulfilment breadth is the thing you are actually buying;
- you depend on third-party logistics or EDI trading partners that are already wired up and working;
- you have configured something deep — automations, a B2B portal, POS — and rebuilding it would cost more than the licence difference for a couple of years.
AegisSwift is built for small distributors, wholesalers, light manufacturers and route delivery. That focus is the reason we do route planning and offline scanning; it is also the reason we are not a marketplace-first platform, and we would rather say so here than in month two.
4.Get your export before you give notice
Whatever you decide, pull a full copy of your data while the subscription is live. This is the single cheapest insurance in any migration, it takes an afternoon, and it is much harder to arrange once the account is in its final month.
We have deliberately not written down Cin7's own export screens here. We have not migrated a Cin7 account ourselves, and a page that guesses at another vendor's menus is worse than a page with a gap in it — so go and confirm the route in your own account rather than taking our word for it. What we can tell you is what to come away with. Pull these five things, the same five we ask for in every migration:
- Item master, including inactive flags so you can filter rather than lose them.
- On-hand quantity per item, as of a stated date and time.
- Current cost per item.
- Customer and supplier master, with addresses and terms.
- Open purchase orders and sales orders, if the cutover is not on a quiet day.
5.The costing change nobody mentions in a demo
This one is worth ten minutes with your accountant before you commit, because it is invisible until your first month-end and then looks like a bug.
AegisSwift costs inventory on a moving average. Find out what your current system uses — the answer is usually an actual-cost method, FIFO, FEFO or specific identification, and it is normally documented rather than hidden. We are not going to assert which one Cin7 uses, because we have not read it on Cin7's own site, and this is precisely the kind of detail that is wrong in every listicle you have already read.
It matters because applied to the same purchases and the same sales, a moving average and an actual-cost method produce two different costs of goods sold. Permanently — it is not drift that settles. Practically, that means:
-
your opening
costcolumn seeds a moving-average basis, so bring a considered cost rather than whatever happens to be in the export; - margin percentages on historical products will move, and someone will notice in week two;
- your accountant should hear about the method change from you, before go-live, not from a variance afterwards.
The same difference applies between AegisSwift and QuickBooks Online, which is FIFO — that page covers it in full, along with what posts back to your books.
6.What switching actually involves
Two spreadsheets — items, and parties (customers and suppliers). The import wizards match on
sku and name, so a re-import updates rather than duplicates, which
matters because you will almost certainly import twice: once to see what breaks, once for
real.
Then connect QuickBooks, count on day one, and run the two systems in parallel for as long as it takes you to trust the numbers. Setup is about thirty minutes; the honest part of the estimate is the data-hygiene pass on your item list, which nobody can do for you and everybody underestimates. Every guide in the migration index is written around that same shape.
7.Questions people ask
Can I export my data out of Cin7 Core myself?
We have not documented Cin7's own export screens, and we would rather leave a gap than guess at another vendor's product — so check this yourself, in your own account, before you rely on it. What matters is that you can get a full copy of five things out: your item master including inactive items, on-hand quantity as of a stated moment, current cost per item, your customer and supplier records, and any open purchase and sales orders. Do it while the subscription is still live rather than after you have given notice, and keep the files.
What should I compare, other than price?
What a seat costs and how many you need, which capabilities are add-ons rather than included, whether the mobile app keeps working with no signal, whether delivery routes and field invoicing exist at all, how deep the accounting sync goes, and how long onboarding really takes. Price is the easiest number to compare and rarely the one that decides whether the software fits.
Will my costs and margins look the same after switching?
Quite possibly not, and it is worth knowing before month-end rather than after. AegisSwift costs inventory on a moving average. If the system you are leaving uses an actual-cost method instead — FIFO, FEFO or specific identification — then the same purchases and the same sales produce a different cost of goods sold under each, permanently. That is an accounting-method difference rather than an error, but it is invisible until your first close and then looks like a bug. Find out which method your current system uses, and raise the change with your accountant before go-live rather than explaining a variance afterwards.
Is AegisSwift a drop-in replacement for Cin7 Core?
Not for everyone, and it is a fair question to press us on. AegisSwift is built for small distributors, wholesalers, light manufacturers and anyone running delivery routes, and it starts at $69 a month. If your operation is built around multi-channel ecommerce and marketplace fulfilment, write down what you actually use every week and ask us directly — we would rather tell you it is not a fit than sell you one.
