QuickBooks Desktop Integration

1.What syncs
AegisSwift mirrors the documents that carry accounting impact into QuickBooks, and pulls a few back so your records stay in step:

If you manufacture
QuickBooks Desktop Premier and Enterprise build assemblies one level at a time and cost them as a single figure; what they do and do not do with a bill of materials is set out in the bill of materials guide. With AegisSwift connected, the bills of materials, work orders, routing, scrap and work in process are kept in AegisSwift, and Desktop stays the ledger for what it already does well: the items, the purchase orders and bills that bring material in, the invoices that send finished goods out, and the cost of goods sold behind them.
The work-order movements themselves — material issued into work in process, finished units completed out of it, labor and overhead applied, scrap written off — are not sent to Desktop today. The integration records that as a standing, visible entry in its sync log rather than skipping it silently, so it cannot be mistaken for a posting that happened. A Desktop shop keeps inventory in AegisSwift and posts a period-end summary journal entry from the work-in-process ledger, which totals the same movements for the month; the work-in-process guide lists the entries and the accounts. (On QuickBooks Online they post as they happen.)
2.Requirements
- QuickBooks Desktop Pro, Premier, or Enterprise with inventory enabled.
- The QuickBooks Web Connector — bundled with recent QuickBooks installs (Start menu → QuickBooks → Web Connector), or a free download from Intuit.
- QuickBooks Desktop running with your company file open during each sync session.
- An AegisSwift account with the manager (or owner) role.
3.Connecting
- In AegisSwift, open the QuickBooks page and click I use QuickBooks Desktop.
- Answer three questions: which customers and vendors to bring over (only the ones you have done business with in the last few years, plus anyone with an open balance — or every active one), whether QuickBooks keeps track of your stock too, and whether AegisSwift already has records QuickBooks is missing.
- Choose a Web Connector password (at least 8 characters, not your AegisSwift password) and click Save. Your connector file downloads, and the page becomes a checklist naming it.

On the computer where QuickBooks is open, open Downloads and
double-click the file (
AegisSwift-followed by your company name, ending in.qwc). The Web Connector opens by itself and asks to add the application, named AegisSwift - and your company name — click OK. - When QuickBooks asks for permission, choose "Yes, whenever my QuickBooks company file is open" (not the "always" option under it), click Continue, then Confirm.
- In the Web Connector, type your password into the Password box on your company's row (AegisSwift - your company name) and tick the box at the start of the row. Auto-Run is already ticked, so it starts by itself within a minute — or click Update Selected to start right away.
- Back in AegisSwift a progress bar takes it from there: it reads your accounts and settings, sets up the accounts it posts to, brings in your customers, vendors and items, and sends QuickBooks anything it was missing. When it says All set, click Finish.
Your old invoices stay in QuickBooks — nothing from your history is copied into AegisSwift. Invoices you create in QuickBooks from the day you connect come across on their own.
4.Syncing & importing your data
With Desktop, the actual data transfer is driven by the QuickBooks Web Connector on your Windows machine — not from the AegisSwift web page. The web page queues work; the Web Connector runs it.
Run a sync now
In the Web Connector, tick the checkbox on your company's AegisSwift row (a connector set up before company names were added is plain "AegisSwift") and click Update Selected. It also runs automatically on the schedule shown in the connector, so day-to-day changes flow without any manual step.
Import your existing QuickBooks data
Setup brings in your customers, vendors and items the first time the Web Connector connects. To run it again later, open Occasional tasks on the QuickBooks Desktop (Web Connector) card and click Re-import everything from QuickBooks Desktop; it uses the same choice about which customers and vendors to bring over.
Ongoing changes
Once connected, the documents in the table above sync automatically — creating a purchase order, receiving stock, or shipping a sales order queues the matching QuickBooks entry, which posts on the next Web Connector session.
5.Troubleshooting
QBWC1048 — "could not verify the server certificate"
Confirm the computer's date and time are correct, and that it can reach
https:// sites. If your organization filters outbound traffic, allow the
AegisSwift endpoint the .qwc points at.
QBWC1003 — "support URL could not be reached"
This is a harmless warning about this help page's availability — it does not affect syncing. Click Yes to proceed.
Nothing appears in QuickBooks after an action
Make sure QuickBooks Desktop is open with the correct company file, then click Update Selected in the Web Connector to flush the queue (or wait for the scheduled run).
"Authenticate failed"
The Web Connector password doesn't match. Re-set it on the QuickBooks page in AegisSwift and re-enter it in the connector.

Does AegisSwift work with QuickBooks Desktop Pro, Premier and Enterprise?
Yes. All three editions connect through Intuit's QuickBooks Web Connector, with inventory enabled in the company file. Items, customers, vendors, invoices, bills, purchase orders and the cost-of-goods-sold entries behind them sync between the two systems.
Does QuickBooks Desktop have to be running for the sync to happen?
Yes. The Web Connector runs on the Windows computer where QuickBooks Desktop is installed, and it needs QuickBooks open on the correct company file during each sync session, whether that is the scheduled run or a manual Update Selected. AegisSwift queues every change in the meantime, so nothing is lost while QuickBooks is closed.
Do work orders and work in process post to QuickBooks Desktop?
Not today. Bills of materials, work orders, routing, scrap and the work-in-process ledger live in AegisSwift, and the integration records each work-order movement as a standing, visible entry in its sync log rather than skipping it silently. A Desktop shop posts one period-end summary journal entry from the work-in-process ledger. On QuickBooks Online the same entries post as they happen.
What does QBWC1003 “support URL could not be reached” mean?
It is a harmless warning from the Web Connector about the availability of this help page, not about the connection to AegisSwift. It does not affect syncing; click Yes to proceed. QBWC1048, by contrast, means the computer could not verify the server certificate, which is usually a wrong clock or a filtered outbound connection.
Can I use QuickBooks Online instead of Desktop?
Yes. AegisSwift also has a direct QuickBooks Online integration that connects in one click from the same QuickBooks page in the app, with no Web Connector involved. This page covers the Desktop edition only.
