QuickBooks Desktop Integration
AegisSwift connects to QuickBooks Desktop (Pro, Premier, or Enterprise) through Intuit's QuickBooks Web Connector, so your inventory, purchasing, and sales activity keeps your books reconciled without manual double-entry. This page walks through connecting and covers the most common questions.
1.What syncs
AegisSwift mirrors the documents that carry accounting impact into QuickBooks, and pulls a few back so your records stay in step:

2.Requirements
- QuickBooks Desktop Pro, Premier, or Enterprise with inventory enabled.
- The QuickBooks Web Connector — bundled with recent QuickBooks installs (Start menu → QuickBooks → Web Connector), or a free download from Intuit.
- QuickBooks Desktop running with your company file open during each sync session.
- An AegisSwift account with the manager (or owner) role.
3.Connecting
- In AegisSwift, open the QuickBooks page and choose QuickBooks Desktop. Set a Web Connector password when prompted.
- Click Download .QWC. This file tells the Web Connector how to reach your AegisSwift account. Copy it to the computer running QuickBooks.

Open the QuickBooks Web Connector → Add an Application →
select the
.qwcfile. Approve the certificate/access prompt in QuickBooks ("Yes, whenever this company file is open"). - Enter the Web Connector password you set in step 1 when the connector asks for it.
- Tick the application's checkbox and click Update Selected to run the first sync. By default it also runs automatically on a schedule.
4.Syncing & importing your data
With Desktop, the actual data transfer is driven by the QuickBooks Web Connector on your Windows machine — not from the AegisSwift web page. The web page queues work; the Web Connector runs it.
Run a sync now
In the Web Connector, tick the AegisSwift application's checkbox and click Update Selected. It also runs automatically on the schedule shown in the connector, so day-to-day changes flow without any manual step.
Import your existing QuickBooks data
On the AegisSwift QuickBooks page, under the Web Connector card, click Pull from QuickBooks Desktop. This queues an import of every customer, vendor, and item from your company file; the data lands the next time the Web Connector runs (click Update Selected to run it immediately). This import also happens automatically the first time the Web Connector connects.
Ongoing changes
Once connected, the documents in the table above sync automatically — creating a purchase order, receiving stock, or shipping a sales order queues the matching QuickBooks entry, which posts on the next Web Connector session.
5.Troubleshooting
QBWC1048 — "could not verify the server certificate"
Confirm the computer's date and time are correct, and that it can reach
https:// sites. If your organization filters outbound traffic, allow the
AegisSwift endpoint the .qwc points at.
QBWC1003 — "support URL could not be reached"
This is a harmless warning about this help page's availability — it does not affect syncing. Click Yes to proceed.
Nothing appears in QuickBooks after an action
Make sure QuickBooks Desktop is open with the correct company file, then click Update Selected in the Web Connector to flush the queue (or wait for the scheduled run).
"Authenticate failed"
The Web Connector password doesn't match. Re-set it on the QuickBooks page in AegisSwift and re-enter it in the connector.
