How to get your data out of Jonas Club Software
Jonas Club is the dominant club-industry ERP — over 2,300 clubs — covering accounting, membership, food and beverage, and pro-shop retail. It is the hardest system we write about, and the reason is structural rather than technical: there is no self-serve "export my catalogue" button, and most clubs run on Jonas-hosted infrastructure where nobody at the club has database access.
1.Establish hosted or self-hosted, first conversation
This single fact determines which routes below are even available to you. A club running Jonas on its own server can use ODBC and be done in an afternoon. A club on Jonas-hosted infrastructure cannot, and needs either Master-Gen or a formal extract request. Ask before you plan anything else.
Also confirm you're looking at the right product. Jonas Club ≠ Jonas Construction ≠ Jonas Premier. Jonas Software owns many products and none of this applies to the others.
2.Four routes, best-effort order
Route A — Master-Gen report writer (best self-serve)
Jonas's own report writer lives at
Administration → Master-Gen: Design Reports. Build a report over the inventory
and membership files with the columns you need, then export the result.
This needs a club staff member with Administration rights, and expect to sit with them: Master-Gen is powerful and not remotely discoverable.
Route B — ODBC (self-hosted clubs)
Jonas supports ODBC — it's how clubs pull data into Excel. Where the club runs Jonas on its own server this is the most complete route. On Jonas-hosted installs it has to be arranged through Jonas, and that's where the lead time bites.
Route C — Formal extract request to Jonas
For hosted clubs, ask Jonas support in writing for a full extract: item/inventory master, current on-hand quantities, member master, and vendor master, in CSV. The club must raise the ticket — Jonas will not act on a request from a third party. Expect a fee and a lead time in weeks.
Route D — AI Custom Import on printed reports
Realistically, a club can always print standard inventory-valuation and member-listing reports even when nothing else is available. Feeding those to AegisSwift's AI-assisted Custom Import is a legitimate fallback, and it has the considerable virtue of not depending on anyone else's schedule. Quality depends entirely on what the reports contain — pull an inventory valuation report rather than a stock-count sheet, so cost comes with it.
3.Gotchas
Members are customers
Jonas's member master becomes our customer parties. Member numbers are the
natural key and should be preserved somewhere — the club will keep using them regardless of
what your new system does. The notes field is the pragmatic home if there's
nowhere better.
Inventory is segmented by department
Pro shop, food and beverage, and so on. Confirm which departments are in scope — usually only pro-shop retail — before exporting, or you'll import a kitchen's worth of food items and spend a day deleting them.
Hosted vs self-hosted changes everything
See §1. It's worth repeating because it's the fact that most often gets assumed rather than asked.
4.What happens on our side
Items and parties import as two spreadsheets, matched on sku and
name. For clubs, the member list is usually the larger and more sensitive half
— deduplicate on email before importing, since club systems accumulate duplicate member
records over decades.
If the club also runs Golf Genius, take the authoritative member list and the item master from Jonas, and use Golf Genius only to fill gaps in contact details. Doing it the other way round produces duplicates.
5.Questions people ask
Can we export our own data?
Via Master-Gen, yes, with Administration rights. Beyond that it depends on hosted vs self-hosted.
How long will it take?
Weeks, if a formal extract is needed. Which is why the request goes in on day one.
What if Jonas won't help?
Route D. Printed reports plus AI Custom Import depends on nobody but the club.
